How to Connect Rodz to HubSpot: A Complete Guide
A step-by-step guide to connecting Rodz with HubSpot for automatic lead syncing, duplicate prevention, and AI-powered email drafts.
Connecting Rodz to HubSpot allows you to automatically sync intent-qualified leads directly into your CRM. Every time Rodz detects a buying signal, the contact appears in HubSpot with full enrichment data and AI-written email drafts—ready for your sales team to take action.
What You'll Get
Once connected, Rodz will automatically:
- Create new contacts in HubSpot when prospects show buying intent
- Update existing contacts with new signal data (no duplicates)
- Associate contacts with enriched company records
- Add AI-generated personalized email drafts to each contact
Step 1: Connect Your HubSpot Account
- Log in to your Rodz dashboard at app.rodz.io
- Navigate to Settings → Integrations
- Click Connect HubSpot
- You'll be redirected to HubSpot to authorize the connection
- Select the HubSpot account you want to connect
- Click Grant Access
Once authorized, you'll see a green "Connected" status in your integrations page.
Step 2: Enable HubSpot on Your Signals
HubSpot sync is enabled per signal, giving you full control over which leads flow into your CRM.
- Go to Signals in your dashboard
- Click on the signal you want to sync to HubSpot
- In the signal settings, toggle Sync to HubSpot to ON
- Save your changes
From now on, every lead captured by this signal will automatically sync to HubSpot.
Step 3: Custom Field Mapping (Optional)
Rodz creates several custom properties in HubSpot to store signal-specific data:
- last_signal – The intent signal that triggered this lead
- last_signal_date – When the signal was detected
- ai_email_content_1 to 4 – AI-generated email drafts
- tracked_company – The company being monitored (for company tracking signals)
These properties are created automatically when you first sync a lead.
How Duplicate Prevention Works
Rodz uses smart matching to prevent duplicates. Before creating a new contact, it searches your existing HubSpot contacts using 6 criteria:
- Email address – Exact match
- Phone number – Matches both phone and mobile fields
- LinkedIn profile URL – Exact match
- First name + Last name + Company name – All three must match
- First name + Last name + Website URL – Finds company by website, then matches contact
- First name + Last name + Company LinkedIn URL – Finds company by LinkedIn, then matches contact
If a match is found, the existing contact is updated with new signal data. If no match exists, a new contact is created.
Viewing Your Synced Leads
In HubSpot, you can create a smart list to view all Rodz leads:
- Go to Contacts → Lists
- Create a new Active List
- Add filter:
last_signalis known - Save the list
This gives you a dedicated view of all intent-qualified leads from Rodz.
Using the AI Email Drafts
Each contact synced from Rodz includes 4 personalized email drafts in the custom properties. To use them:
- Open a contact in HubSpot
- Scroll to the Rodz property group
- Copy the content from
ai_email_content_1 - Paste into your email composer
- Review, personalize if needed, and send
The emails are tailored to the specific intent signal and prospect context, giving your reps a head start on personalization.
Troubleshooting
Leads not appearing in HubSpot?
- Check that HubSpot sync is enabled on the signal
- Verify your HubSpot connection is still active in Settings → Integrations
- Check if you've hit your daily lead limit on the signal
Seeing duplicate contacts?
- This is rare due to our 6-point matching system
- Check if the duplicate has different email/phone/LinkedIn data
- Contact support if duplicates persist
Custom properties not showing?
- Go to HubSpot Settings → Properties → Contact Properties
- Search for "ai_email" or "last_signal"
- Make sure the properties are visible in your contact view
